Rate Information

The City of Salem, Department of Community Services (DOCS) is committed to provide a clean, attractive place for citizens to meet. This brochure contains guidelines to help meet that goal and to assist with planning your use of the building. We appreciate your cooperation in this effort and welcome your suggestions for improvement to our services.

RESERVATION GUIDELINES
(Applicants must be 21 years or older.)

Reservations can be made by filing an "Application & Agreement for Use of Parks or Recreation Facilities" with the Department of Community Services, Room 300, Civic Center, Monday through Friday, 8:00 a.m. to 5:00 p.m. Please direct inquiries regarding availability to 503-588-6261.

Reservations can be made a minimum of two weeks to a maximum of one year in advance. Requests for use outside of this policy requires review of the Director.

The full fee must be paid when the application form is submitted.

Once the permit has been filed, reservation changes will not be allowed less than five working days before the scheduled use, except in emergency cases.

CANCELLATION

Cancellations and resulting refund requests must be submitted in writing to the DOCS.

Cancellations made at least 30 days before the date of the reservation will be refunded the original amount minus a $15.00 processing fee.

Cancellations made less than 30 days before the reservation date may forfeit the fees.

No refunds will be granted after the date of the reservation date, whether or not the facility was used.


DOCS reserves the right to cancel any reservation due to unforeseen circumstances or emergency situations, i.e. flooding, fire, damage to hall, etc. If the reservation is canceled by the DOCS, the applicant may choose a full refund or request to be rescheduled.

SCHEDULING

On the application, INCLUDE THE AMOUNT OF TIME YOU WILL NEED TO SET UP FOR YOUR ACTIVITY AND CLEAN UP AFTERWARDS. Early entrance or late exit will result in additional charges.

Since this building has multiple daily uses with only one hour provided between reservations, time for set-up and clean-up must be included in your block of time. PLEASE REMEMBER TO LEAVE THE HALL AS YOU FOUND IT.

The building is available from 7:00 a.m. to 12:00 midnight. Reservations beginning before 9:00 a.m. or after 5:00 p.m. must accept the hall in an "as is" condition.

Users of the Activity Room will have primary use of the kitchen and its facilities.  The activity room has two telephone jacks and the meeting room has one telephone jack.  There are no data lines to the hall. 

Security/Clean-up deposit of $200 is required upon reserving the facility. The deposit is refundable pending satisfactory completion of the closure checklist (listed in this brochure).

OPENING PROCEDURES

Heating and cooling are programmed in accordance with City policy. Users may use active ceiling fans as needed.

Tables and chairs are located in a storage room off the Activity Room. Table and chair set-up is the responsibility of the user.

CLOSING PROCEDURES

Basic clean-up is provided daily prior to 9:00 a.m. A late afternoon check on the condition of the building is also provided. It is the responsibility of the user to leave the facility ready for the next use. Failure to do so infringes upon the rights of others using the building afterward, and additional charges or denial of future use may result.

Paper towels, a dust mop, a broom, and a bucket and wet mop for spills are available in the table storage area.

ANY SPECIAL CLEAN-UP OR DAMAGE COSTS WILL BE BILLED TO THE USER


CLOSURE CHECKLIST

Clean/wipe tables and chairs.

Stack table and chairs.

Return table and chairs to storage.

Sweep/dust mop floors.

Mop spills.

Clean/wipe sink and appliances.

Place trash in available trash can. Additional cans are located outside on the north side of the building.

Remove all personal items.

Turn off appliances fans and lights.

Close and lock all doors.

Return the key to DOCS office within 24 hours of facility use.


KEYS

Pringle Hall operates on a key checkout system by groups or individuals using the building. Users must pick up the key from the Department of Community Services, Room 300, in the Civic Center (8:00 a.m. to 5:00 p.m.), the day of the scheduled use, or Friday for weekend use.
The key must be returned by 12:00 noon the day following the reservation or by 12:00 noon on Monday following a weekend event. If the key is not returned, a penalty equal to the cost of re-keying all doors in the facility may be assessed.

BUILDING RULES

Alcohol (beer and wine only) is permitted but requires prior approval and must be indicated on the application form.

State law prohibits smoking in public facilities.

Tables/chairs may not be taken outside the building.

No tents/awning may be erected on the premises.

Soft background music is permissible in the hall only as it is located in a hospital zone.

Throwing of rice, bird seed, confetti, or rose petals is not permitted.

Candles or combustible materials are not allowed inside the building.

Users should report any unsafe, undesirable, or unusual conditions to the City of Salem Department of Community Services.
