File Naming Standards for Electronic Plans

​Using a consistent file name simplifies the review process and is required for projects with a valuation of over $5 million.

In the main building permit files, please do not include plans related to your mechanical, electric, and plumbing permits. Those documents should be included only with those permits.

Make sure you do NOT use commas, # signs or other symbols in your file names.  Our system will not upload those files correctly. Be sure your file names are unique before you attempt an upload. If you upload a file with the same name as an existing file, it will overwrite the existing file without prompting you.

Initial document uploads 

The City of Salem’s naming standard includes the following parts:

1. A three-digit number used to control the sort order of documents during review and establish the position in the final set.  The position should match what is shown on your cover sheet.

2. A short description of the type of document, e.g., Civil-Set, Architectural-Set, Calcs, etc. Be sure you have separate files for each group of files. For example, all "A" sheets should be in one file and all "C" sheets in another file.

Changes to permit documents

You may need to provide changed documents during the review process or after the permit has been issued. The naming convention is slightly different.

Changes made during the review process, before the permit is issued 

If plan review comments result in revised sheets:

  • The entire discipline file set should be uploaded.
  • Verify that the all changes are clouded on the plans with a revision delta and the revision recorded in the revision block.
  • The revised set should be named the same as the original files with a -SEC and a number appended to the end of the file name. The first time you submit a revised set, you would append -SEC-01. The second time you submit a revised set, you would append -SEC-02.
  • Upload an additional 8.5 x 11 file with a narrative explaining what sheets were revised and a brief description of what was changed.
